22 September 2026New Terminology page — the single list of what every object in Evolution is called, what it actually represents, and which words we no longer use.
- add_circle New Terminology page added to the Documentation section. Covers every main object — accounts, contacts, sites, leads, opportunities, quotes, projects, activities, tasks, manufacturing, purchasing, stock, invoicing and assets — in one place.
- add_circle New Terminology: How to Read This Page sets out the three naming rules the whole system now follows — Project rather than Job, Account as the parent of Customer and Supplier, and Contact reserved for people.
- add_circle New Terminology: Planned Activities explains what an activity carries, the difference between an inventory assignment and a resource assignment, and how to read the three status dots behind the calendar’s Unprocessed / In progress / Ready legend.
- add_circle New Terminology: Tasks covers what a task carries, the nine kinds of record a task can be raised against, subscribers versus the assignee, and what a task template does.
- add_circle New Terminology: Manufacturing walks the full pipeline — processes, routes, production orders, shop floor orders and their children, quantity breaks, manufacturing BOMs, production bookings, reworks, factory sessions and process queues — and shows how daily capacity drives every ETA.
- add_circle New Terminology: Words We’ve Retired lists Job, Client, Vendor and Address Book with what replaced them, and notes the two places “job” is still correct — the shop floor and Job Costing.
- add_circle New Terminology: Easily Confused settles ten pairs people mix up, including Planned Activity versus Task versus Assignment, Picking versus Dispatch, Production Order versus Shop Floor Order, and Contacts versus Contracts.

22 September 2026New Inventory CSV Export & Import guide — the exporter and importer rebuilt around per-branch min/max bins and bin locations, nested category filtering, and what can and cannot be written back.
- add_circle New Inventory CSV Export & Import guide added to Inventory. Covers both tools as a pair: exporting a file, editing it in a spreadsheet, and importing it back, with a backup taken before every run.
- add_circle New Inventory CSV Export & Import: The Two Export Types explains the difference between the one-row-per-item Item Master file and the new one-row-per-item-per-branch Branch Stock Settings file, including why a branch with no stock record still exports a blank row — that is how a bin gets set up for the first time.
- add_circle New Inventory CSV Export & Import: Branch Stock Settings gives the full column reference for the branch file — which columns key the row, which three can be edited and re-imported, and that a blank cell leaves the existing value alone.
- add_circle New Inventory CSV Export & Import: Category Filtering documents the nested category list — choosing a parent category now includes every category beneath it, at any depth.
- add_circle New Inventory CSV Export & Import: Fields You Cannot Import explains why Stock On Hand, Allocated, On Order and Average Cost export for reference but cannot be written back — they are calculated from stock movements and open orders, so a stocktake is the way to change stock levels.
- add_circle New Inventory CSV Export & Import: Backups & Restoring spells out what a restore actually does — it overwrites live data from the snapshot, and without Retain new items it deletes anything created since.
- add_circle New Inventory CSV Export & Import: Large Files covers whole-catalogue imports — why the mapping screen shows the first 500 rows as a preview while the whole file is still imported, which rows can be excluded, and what each of the importer's refusal messages means.
- add_circle New Inventory CSV Export & Import: The Import Report explains every result the report can give — Added, Updated, No change, Skipped and Failed — that failed rows do not mean a half-finished import, and where to get the full row-by-row report as a download.

17 September 2026New Syncing Payments from Xero guide in Sales — the new Sync button on the Payments panel of Invoice Entry that fetches a payment the overnight Xero sync missed, for one invoice, on demand.
- add_circle New Syncing Payments from Xero guide added to Sales (also listed under Administration). Covers where the Sync payments from Xero button lives on the Payments panel of Invoice Entry, who can see it, and the three results it can come back with — nothing missing, payments brought across, or a reason it could not run — with screenshots of each.
- add_circle New Syncing Payments from Xero: Why a Payment Goes Missing explains the overnight sync’s blind spots in plain terms — invoices older than its rolling window, invoices Evolution already considered settled, and nights the sync could not reach Xero — and why asking Xero for one invoice’s payments with no date limit gets round all three.
- add_circle New Syncing Payments from Xero: documents that the check runs both ways — a payment since deleted in Xero is reversed in Evolution too, putting the balance back — and that pressing the button twice is safe because each payment is matched on its Xero reference.
- add_circle New Syncing Payments from Xero: When the Button Is Not There lists every reason the button or its messages appear as they do — Xero switched off, no AR access, an invoice not yet sent or not yet committed, a lapsed authorisation, a disconnected organisation — plus what happens when a payment arrives from a Xero bank account with no match in Evolution.
- edit Updated Xero Integration: Related Pages now points at the new payment sync guide.

10 September 2026New Asset Management guide replaces the old Asset Register overview — the register, the asset editor and its four tabs, service scheduling, maintenance records and the new soft delete, and the Asset Maintenance Schedule Report.
- add_circle New Asset Management guide added to Features, rebuilt from the short Asset Register overview into a full walkthrough of the module with screenshots throughout. Covers the register and its filters, adding an asset, and each of the four tabs on the asset editor — General, Bookings, Files & Uploads and Maintenance.
- add_circle New Asset Management: Service Scheduling explains the Service Period and the optional … or every time interval that runs alongside it, that an asset falls due on whichever arrives first, and that Last Maintained and Recorded Mileage are calculated from the newest active maintenance record rather than typed.
- add_circle New Asset Management: Maintenance Records documents the service history on an asset field by field, including the new Status column and what the Active and Deleted badges mean.
- add_circle New Asset Management: Deleting & Restoring a Record covers the new soft delete — a removed service record stays on the list struck through and badged, records who removed it and when, stops counting towards Last Maintained, Recorded Mileage and the schedule report, opens read-only, and can be restored at any time.
- add_circle New Asset Management: Maintenance Schedule Report explains the four report bases — For Scheduled Maintenance, All Assets, No Maintenance Record and Custom — the advanced filter, what the printed report carries, and scheduling it as an automated e-mail alert.
- add_circle New Asset Management: the two separate file areas are spelled out — the asset’s own Files & Uploads tab for manuals and certificates, and the Maintenance Files & Uploads tab inside a service record for that one job’s paperwork.

9 September 2026New Xero Integration guide under Administration — connecting Evolution to Xero, running more than one Xero organisation, and the new setting that maps a branch to the organisation its invoices, bills and credit notes belong in.
- add_circle New Xero Integration guide added to Administration. Covers the whole Xero Integration block on Company Setup field by field — turning the integration on, the default organisation, the connected-organisations table and its expiry dates, Connect to Xero, auto-sync and its start date, and text-only invoice lines.
- add_circle New Xero Integration: documents the new Xero Organisation field on a branch — map a branch once and every invoice, bill and credit note raised against it opens with the right Xero organisation already selected. Explains that the field only appears when two or more organisations are connected, and that leaving a branch unmapped keeps the existing choose-on-each-document behaviour.
- add_circle New Xero Integration: How the Organisation Is Chosen sets out the order Evolution works through — a document already sent keeps the organisation it went to, then a sole connected organisation, then the branch mapping, then Please Select — and notes that a mapping pointing at a disconnected organisation is ignored rather than preselected.
- add_circle New Xero Integration: On the Document Screens shows where the organisation picker lives on Invoice Entry, Bill Entry and Credit Notes, that changing the branch re-points the picker, and that a document already in Xero never moves.
-
7 September 2026New Customer Segments guide, plus four new segment reports documented in Sales Reports — the segment directory, revenue by segment, RFM customer value and mailability & consent.
- add_circle New Customer Segments guide added to Sales. Covers what a segment is and what the code, colour and description are each for, adding and removing accounts from either the segment or the account itself, the Segment filter on the Accounts register and its No Segment option, what retiring a segment does and does not do to its membership, and the fact that an account can belong to as many segments as you like.
- add_circle New Customer Segment Directory section added to Sales Reports. One row per account with its contact details, segments, last invoice, 12-month revenue, balance and mailing consent — the report you export for a mail merge or a price letter. Documents the filters, the summary cards, the per-segment breakdown and the 5,000-row listing cap that does not affect the totals.
- add_circle New Revenue by Segment section added to Sales Reports. Each segment month by month across a financial year, on revenue, invoice count or accounts invoiced, with a Share column and a separately calculated All accounts row. Explains why the segment rows add up to more than the company total when accounts belong to several segments, and why the year column is not the sum of the months on the Accounts invoiced measure.
- add_circle New Segment Customer Value section added to Sales Reports. The RFM view — recency, frequency and money scored 1 to 5 — with the eight behaviour groups explained and what to do about each, the ABC revenue split, and a note that the scores are relative to whatever is on screen rather than absolute.
- add_circle New Segment Mailability & Consent section added to Sales Reports. Whether a segment can actually be emailed — usable address, valid address, mailing consent and an active account — with shared addresses flagged as duplicates, the reach-by-segment roll-up, and the per-row reason an account cannot be mailed.
-
7 September 2026Units of Measure is now listed under Inventory as well as Administration, documents what happens when a unit is renamed, and explains the second thing the Time type controls — which of a job’s lines are offered when billable time is entered.
- edit Updated Units of Measure is now cross-listed under Inventory as well as Administration. Same page, same address — it is simply findable from the section people go looking in.
- add_circle New Units of Measure: Why Type Matters now covers both consumers of the Time type. Alongside Items To Follow, it explains that Time also decides which of a job’s lines are offered in the CODE dropdown on an Itemized Time Entry, that those lines are grouped by the quote they came from, and that Show all labour items is only needed when the line you want is not a labour line at all.
- build Fixed Units of Measure: the Symbol field is documented as accepting up to 16 characters, not five — a longer symbol such as SHIFT is no longer cut short.
- add_circle New Units of Measure: a new Renaming a Unit section replaces the old warning not to edit a symbol in place. Renaming now carries the change through to every item, manufacturing process, expense item and alternate unit that used it, and shows you the counts before it does — so the guide explains the confirmation you are shown, what it will move, and why invoices and credit notes already raised deliberately keep their original wording.
- add_circle New Units of Measure: documented that two units cannot share a symbol or a name, and that saving a duplicate is refused with the name of the unit already using it.
- edit Updated Units of Measure: Editing or Disabling a Unit now explains that a disabled unit disappears from the unit dropdown on items so it cannot be chosen again, while items already using it keep it and still show it when opened.
- edit Updated Timesheets: Labour Items and Rates now describes the CODE dropdown on an Itemized Time Entry — that it lists every labour line on the job grouped under the quote it came from, that the item’s unit type is what makes a line count as labour, and what Show all labour items is actually for.
-
3 September 2026Purchase History added to the Purchasing Reports guide — the new report that shows what you bought, from whom, when and at what price.
-
2 September 2026New Item Search & Stock Visibility guide — the detailed item picker, its SOH and Avail columns, and the setting that turns it on for quotations, invoices and jobs.
-
2 September 2026New Quote Modes & Contract Pricing guide in Sales — the two ways a quotation is priced, the settings behind them, and the contract prices that override both.
-
1 September 2026Shopify — Inventory & Products now covers where a product attribute is published, the new per-item Attributes table, and the links from a category straight to its Shopify collection.
- edit Updated Shopify — Inventory & Products: the Product attributes (metafields) section now explains where the mapping is authored (the category’s Shopify tab, with the shared Shopify Name and the per-category Sync setting) and how to read the new notice on Inventory → Attributes — the Shopify column on the register, and the Published to Shopify panel on an attribute with its store line, the Syncing / Field defined badges and what each one actually means, the metafield key, the link into Shopify admin, and the per-category Shopify sync column.
- edit Updated Shopify — Inventory & Products: Categories to Collections gains Opening the collection from Evolution — the View in Storefront and View in Shopify Admin links on a category’s Shopify tab, and the fact that neither appears until the category exists in Shopify.
- add_circle New Shopify — Inventory & Products: Seeing an item’s attributes on the item itself — the Attributes table on an item’s Shopify tab, what each of its four columns means, every status it can report, the banner that names attributes out of step with the store, and why Update Shopify Product is now live for an attribute-only change that previously reported “No changes were made”.
- add_circle New Shopify — Inventory & Products: Attributes on variations and Where the values land: products and variants — the variation editor’s own attributes table and its Update Attributes in Shopify button, and the rule that decides whether an item’s values are written to the Shopify product or to a single variant matched on SKU.
- add_circle New Shopify — Inventory & Products: Changing the mapping for several categories at once — the Category Configurator’s Update Attribute Mapping button, which categories it applies to, and what it does and does not re-send.

30 August 2026New Importing a Bill of Materials guide in Projects — loading a job line’s BOM from a CSV produced outside Evolution.
-
28 August 2026New Custom Fields guide in Administration — how to add your own fields to leads, opportunities, jobs and more, and how to stop one being compulsory.
-
26 August 2026Store Connection now documents the Data & Mappings panel — how to clear the link records between a Shopify store and Evolution, and what deliberately survives.
-
20 August 2026HubSpot Integration guide added to Sales, covering account/contact/deal mapping, connecting, sync modes, the sync panels on accounts/contacts/opportunities, and the new Sync Activity screen — now with real screenshots throughout, and updated for one-click connecting.
- add_circle New HubSpot Integration guide added to Sales. Covers how Evolution accounts, contacts and opportunities map to HubSpot Companies, Contacts and Deals; connecting an account; per-object Auto Sync vs Sync On Demand modes on Advanced HubSpot Configuration; the sync badge/panel on an account and on a contact, including the Sync contacts cascade checkbox; Deal pipeline & stage mapping and the four points an opportunity pushes from; and what pulls back automatically from HubSpot (and the one thing — Deal stage — that deliberately doesn’t).
- edit Updated HubSpot Integration guide now covers the sync badge/panel on opportunities (matching the account and contact panels) and the new Sync Activity screen — a 24-hour failure count, a failures-only filter, and a log of every push/pull attempt with HubSpot’s own error message on failure. The troubleshooting checklist now starts there instead of ending on a generic four-step list.
- add_circle New Real screenshots added throughout the HubSpot Integration guide, replacing placeholders: the settings/connect screen, Advanced Configuration, the account and contact sync panels, Pipeline & Stage Mapping, and the Sync Activity screen.
- edit Updated HubSpot Integration guide’s “Connecting HubSpot” section rewritten for the new one-click connect flow — no more Client ID/Secret to enter, matching how connecting Xero already works in Evolution.

18 August 2026Job invoices can now carry an Items To Follow page for the customer, and the Units of Measure screen is documented for the first time.
- add_circle New Items To Follow (Backorder Report) added to Sales and Projects. Covers attaching the page from the invoice Print or Email options, the Attach Backorder Page to Invoices setting that pre-ticks it, and how the tick always overrides the setting for a single invoice. Explains every column on the printed page, how Supplied is measured from dispatches rather than from what has been invoiced, where the ETA comes from (supplier back order date, then the buyer’s expected-by date, with Ready to despatch for goods already staged and TBA where nothing is ordered yet), the already invoiced marker on prepaid lines, and why labour and service lines are left off by default.
- add_circle New Units of Measure added to Administration. Covers the four fields on the screen, adding a unit, editing one by clicking its row, and retiring one with the status. Explains why the Type matters — a unit typed Time is what marks an item as labour rather than stock — and warns that changing a symbol does not follow through to items already set to the old one.
- build Fixed On the Units of Measure screen, clicking a unit’s Status jumped to an unrelated screen instead of opening the edit window; clicking any other part of the row worked. The whole row now opens the unit for editing. Status also reads Active or Disabled rather than a bare 0 or 1, and a unit can no longer be saved without a type.
- build Fixed Printed documents that opened in the browser could fail with “We can’t open this file”. The PDF is unaffected on the server; only the copy sent to the browser was damaged. Corrected for every printed document.
-
14 August 2026Stop credit and credit limits are now enforced on Invoice Entry and New Job, and the whole subject is documented in one place.
- build Fixed Stop credit and credit limits are now enforced where invoices and jobs are raised directly. Invoice Entry and the New Job screen previously raised a pop-up that could be dismissed, and then let the work through. Invoice Entry now blocks at Commit — the invoice can still be edited and saved as a draft, but Commit is greyed out and refused, so nothing reaches the customer’s account or the ledger while the account is held. New Job refuses to create the job, including when the customer is chosen from inside the form, which previously carried no check at all. Users with Accounts Receivable set to Admin, and full administrators, may still proceed; they see the reason in amber rather than red. Accounts that have been disabled are stopped on New Job the same way.
- build Fixed The Customer Balance shown on Invoice Entry read roughly double the real amount owing on a saved invoice, and the credit limit check on that screen was measured against the inflated figure. Both are corrected. The Account Bal on the Add a Payment window counts only invoices with money still owing, so on an account carrying credits it legitimately reads higher than the account balance — the documentation now explains the difference instead of warning about it.
- add_circle New Credit Limits & Stop Credit added. Covers setting both values on the account’s Billing/Pricing tab (administrator or full Accounts Receivable access only), finding accounts on stop credit from the account list, how the customer balance is worked out, and what each setting does on the quote screen (the red banner, the balance line, and the blocked Create Invoice and Create Job panels). Also covers the effect on jobs — the banner on the job’s General tab, and the Inventory tab action bar (requisitions, dispatches, production orders and Save Changes) disappearing entirely while the customer is on stop credit — plus what happens on invoice entry.
-
11 August 2026The new Shopify Store Import tool — for stores that already have products before Evolution connects — is now documented.
-
11 August 2026Connecting a Shopify store is now a documented two-step process, and each company connects to its own Shopify app.
- edit Updated Shopify Overview rewritten around the new two-step connection: entering this company’s app details (Store URL, Client ID, Client Secret) and then installing the app on the store with Connect to Shopify. Adds the three connection states and what each one means, notes that only an administrator can connect, and covers what happens if the app is later uninstalled or the credentials are changed.
- edit Updated Store Connection now opens by distinguishing the two things called “connecting” — linking Evolution to your Shopify app, and turning on order delivery — and links to the app step, which has to be done first.
-
10 August 2026Printing can now open the PDF straight in the browser instead of downloading it — the new setting is documented under Administration.
-
10 August 2026A new guide covers creating a customer account and its first contact from an opportunity — including the new Trading Name field and the setting that makes Salutation compulsory.
- add_circle New Accounts & Contacts from an Opportunity documented under Sales. Covers the new-customer panel on the Opportunity screen and the new Trading Name field, adding the first contact, the Salutation list and why it now opens on Please Select rather than defaulting to a title, the new Force Salutation setting on the General tab of Settings, and where the salutation is shown against a contact’s name.
- edit Updated Contacts on Accounts now lists Salutation among the contact details on the Overview tab, with a note on the N/A option and a link to the administration setting that makes it compulsory.
-
4 August 2026The BOM Configurator is now documented, and it opens for any item with a Bill of Materials — components you are not supplying can simply be unticked.
- add_circle New New BOM Configurator guide under Sales — tailoring a manufactured item’s Bill of Materials for a single quote line. Covers where to find it, unticking a component you are not supplying, choosing an alternate where one is set up, how the cost and price are rebuilt from what is left ticked, applying the configuration to the line, and setting up alternates against the item in the first place.
- edit Updated The configurator now opens for any item that has a Bill of Materials, not only items with alternates set up. Components without an alternate can be unticked to exclude them from that quote line — the excluded row is struck through, the total cost and calculated price are recalculated from the components left ticked, and the original figures stay on screen struck through for comparison. At least one component must remain selected.
-
4 August 2026The Product Coding Standard screen is now documented end to end — how to build a standard, learn your existing conventions from your own catalogue, and check your data before switching it on.
-
3 August 2026A new inventory report works your product-coding convention out from the items you have already coded, and flags every term coded more than one way.
-
30 July 2026Invoicing a dispatch no longer leaves the delivered goods billable a second time — in either direction — and can no longer be done twice.
- build Fixed Goods already invoiced from the job are no longer billed again by the delivery. The guard added between dispatch invoicing and the job’s own invoicing methods previously only worked one way: invoicing the delivery first reduced the job’s un-invoiced quantities, but invoicing from the job first — through Itemized Invoice, say — left the INVOICE button on the delivery willing to bill the same goods over again. The delivery now deducts everything already billed against each job item: where nothing is left the button is greyed out and says so, and where only part is left it stays live and tells you how much of the delivery it will bill (“only 22 of 60 will be billed”) both before and after you press it. Lines billed in full are left off the invoice rather than repeated at nil.
- build Fixed A delivery now honours the invoicing option set against the item on the job, so it cannot bill something the job says is not billable. An item set to Disable All Invoicing is left off the invoice; one set to Do not invoice/Credit Extras is billed at its original quantity, so a quantity variation is neither charged nor credited; and no line is billed for more than the job item carries, however much was shipped.
- build Fixed Invoicing a committed dispatch now reduces the job’s un-invoiced quantities. The delivered items were previously left showing as outstanding on the job, so the Itemized Invoice method in the Invoice Job window offered the same goods again — a delivery could be billed twice with nothing on screen to show it. Each dispatch invoice line is now tied back to its job item, so the job, the Return Goods screen and the job’s invoiced-to-date figures all account for it.
- build Fixed A dispatch can now only be invoiced once. Pressing INVOICE a second time previously raised a second complete invoice for the same delivery and pointed the dispatch at the newer one, leaving the first easy to miss. The button now carries the invoice number and links to the invoice already raised; if the delivery is somehow submitted for invoicing again, Evolution says which invoice covers it instead of creating another. Deleting a draft dispatch invoice still frees the dispatch to be invoiced again.
- build Fixed A dispatch invoice now carries the contact named on the delivery — the person who received the goods — rather than the customer’s first contact record. Where that person is also a contact against the customer, the invoice is linked to that record and any missing email or phone is filled in from it. The contact name now shown on the invoice and the contact it is linked to can no longer disagree.
- build Fixed Dispatch lines added straight onto the delivery, with no matching item on the job, are no longer silently left off the invoice — goods were being delivered and never billed. They now come across at 0.00 with a message telling you how many lines need pricing.
- edit Updated Invoicing a dispatch is now recorded in the history of both the dispatch and the job, and the INVOICE button is hidden on an uncommitted dispatch or where you do not have Job Costing or Inventory administrator rights.
- edit Updated The invoicing option on a job item is now labelled the same way wherever it appears. Adding an item on the job’s Inventory tab previously offered Invoice client / Do not invoice client, which read as billing or excluding the item outright; the same field in the item’s edit window was already labelled correctly. Both now read Invoice/Credit Extras, Do not invoice/Credit Extras and Disable All Invoicing — the first two govern how a quantity variation is treated, and only the third excludes the item outright. The separate Reason this item being added to job field, including its Do and charge option, is unchanged.
-
30 July 2026New guide for invoicing a committed dispatch, so a delivery can be billed for exactly what was shipped.
- add_circle New New Invoicing a Dispatch guide — the INVOICE button at the foot of a committed dispatch, what it carries onto the invoice (dispatched quantities, the job’s sell price, the item’s tax code and income account, and the contact who received the goods) and what it deliberately does not do. Covers the conditions for the button to appear, why the draft’s GST and prices are worth checking before committing, and what to do when a delivery has already been invoiced.
- edit Updated Invoicing a Job and Invoicing Timesheets now cross-link to the new guide.
-
30 July 2026Invoicing a job from quotes now honours the target invoice and the invoice type, tags lines with their quote number, and charges GST correctly on summarised sections.
- build Fixed Summarize Section Tabs as Line Items now charges tax. Invoices raised this way previously came out with no GST at all and with the section lines posted to no income account, so the invoice had to be corrected by hand before it could be sent or committed. Each summary line now carries the tax rate and income account of the quoted items inside that tab, and a tab that mixes tax rates is summarised as one line per rate (with the rate name added to the description) so the totals still reconcile to the quote.
- build Fixed Invoice Job → Create invoice from Quotes now respects Select Target Invoice. Previously the dropdown was shown but ignored for this method, so a quote always started a new invoice even when an existing draft was chosen — you can now add quoted work to a draft that already carries other work for the same customer.
- build Fixed Select Invoice Type is now applied when invoicing from a quote. It was previously overwritten by the quote’s own type. Leaving it on Please Select still inherits the quote’s type, and adding lines to an existing invoice never re-types that invoice.
- add_circle New Where an invoice carries lines from more than one quote — several quotes invoiced together, or a quote added to an existing invoice — each line now shows its quote number in the description (… (Quote 23272)). Identical items priced the same on two quotes also stay as separate lines instead of being merged, so the customer can match the invoice back to each quote.
-
29 July 2026New guide covering every way to raise an invoice from a job, not just from timesheets.
- add_circle New New Invoicing a Job guide — the five methods offered by the Invoice Job window on the Job Costing tab: invoicing from quotes (full line items versus one line per section tab), the itemised invoice built from completed job items, and the text based deposit, progress and final invoices (Fixed versus Percentage, putting the job on hold, and the pre-filled final balance). Includes how the Target Invoice list lets you append to an existing draft, which methods actually reduce uninvoiced WIP, and what happens to items flagged Do Not Invoice.
- edit Updated Invoicing Timesheets now cross-links to the new guide so the other invoicing methods are easy to find from it.
-
27 July 2026New guide for adding and removing a quote’s optional extras on a job after the quote has been imported.
-
26 July 2026New administration guide for the control accounts every invoice, bill and payment posts through.
- add_circle New New Control Accounts & Tax Accounts guide — where the Accounts Receivable, Accounts Payable, bank and petty-cash settings live, the per-tax-code Account for Tax Collected / Paid, exactly what committing an invoice posts to the general ledger, and the new behaviour where a commit is refused outright (rather than half-posted) if a control account has not been set. Includes a setup checklist for a new or newly copied company.
- edit Updated Invoice Entry and Bill Entry now check the control accounts before you start: a new invoice or bill cannot be keyed until the company’s Accounts Receivable / Accounts Payable account is set, since an uncommittable document is invisible to the ledger, average cost tracking and job costing. Documents already keyed are unaffected — they open and edit as normal with a reminder at the top.
-
23 July 2026New guide for AI Quote Notes — drafting client-facing scope-of-work notes with Claude AI.
-
21 July 2026Bill due dates now fill in automatically from each supplier’s payment terms.
-
20 July 2026Clickable report tiles on every reporting guide, and the Purchasing guide now documents all seven Purchasing reports.
- add_circle New Every reporting guide now opens with a “Reports in This Guide” tile grid — the same report tiles you see on the Reports Dashboard, now clickable so they jump straight to that report’s section further down the page.
- edit Updated The Purchasing Reports guide now documents all seven Purchasing reports, grouped exactly as they appear on the dashboard (Demand & Re-order, Purchase Orders, Suppliers). The Demand Deficit, Min / Max Re-order, Re-order Insights and PO Outstanding Items reports — previously written up on the Inventory page — now live under Purchasing where they belong, so the guide matches the Purchasing dashboard card.
- edit Updated Updated the Stock Movement Ledger guide for its latest refinements — the new Period presets (this month, last financial year, etc.), From/To date pickers that keep each other inside the 12-month limit, movement date & time shown in your standard date format, colour-coded source badges, signed quantities and a distinct-item count in the summary.
-
19 July 2026A full refresh of the reporting documentation, plus the rebuilt inventory analytics reports.
- edit Updated Redesigned the Reporting Overview around the new Reports Dashboard — browse reporting by area (Financials, Jobs & Projects, Sales, Inventory, Purchasing, Timesheets, Qualifications), with the dashboard’s search, category pills and favourites explained. All the old broken links are fixed.
- add_circle New Added a Financial Reports guide covering Aged Receivables & Payables, Misaligned / Adjusted Invoices, Profit & Loss (accrual / cash basis with period comparison), Revenue by Month and the GST / BAS Summary.
- edit Updated Reviewed every reporting guide against how each report actually behaves and corrected the details — default filters, permission requirements, how rows are sorted, row limits and the exact columns each report shows — across the Sales, Projects, Purchasing, Timesheet, Qualification and Inventory guides. Added screenshot placeholders throughout.
- add_circle New Product Sales Performance can now optionally include job-dispatched stock. Tick “Include job-dispatched items” to also count goods dispatched against jobs that never appear as an invoice line (e.g. jobs billed by a single text / lump-sum invoice). Those units are valued at the job item’s sell price and shown in a separate Job Qty column, so off-invoice product movement is visible without double-counting anything already itemised on an invoice.
- add_circle New Item History / Stock Card gained the same Include job-dispatched items option, so a single item’s stock card reconciles with Product Sales Performance. When on, the KPI tiles show how much of Qty Sold / Net came off-invoice, the affected months are flagged, and each job dispatch appears in the transaction list with click-through to the job.
