Evolution ERP allows accepted quotations to be converted directly into projects. This ensures labour, materials, and pricing from the quote flow seamlessly into project management.
Creating projects from quotations is typically used once a customer has accepted a quote and work is ready to commence.
Where to Find It
Sales → Quotes
Locate the accepted quote that will be converted into a project.
Prerequisites
- The quotation must already exist
- The quotation should contain labour and/or material items
- The quote must be accepted by the customer
Creating a Project from a Quote
- Navigate to Sales → Quotes
- Search for and open the relevant quotation
- Click Tools
- Select Create Project
The system creates the project using the quote as the source, ensuring a top‑down workflow.
Project Creation Details
When creating the project, several fields are either prefilled from the quote or can be adjusted before finalising the project.
- Purchase Order – Optional, if provided by the customer
- Description – Optional
- Estimated Buy – Automatically carried over from the quote
- Project Manager – Defaults to the quote but can be changed
- Project Category – Must be selected
Inventory Allocation Options
Choosing the correct allocation method is important and depends on the length and nature of the project.
Allocate on Project
Inventory is allocated immediately when the project is created.
- Best for short‑term or quick turnaround projects
- Useful when work begins almost immediately
- Inventory from all associated quotes is reserved right away
Allocate on Orders
Inventory is allocated gradually as required during the project lifecycle.
- Suitable for long‑term projects (3, 6, or 12 months)
- Inventory is allocated only when:
- Picking slips are raised
- Purchase orders are created
- Manufacturing or fabrication orders are issued
Additional Project Setup
- Site Details – Select an existing site or add a new one
- Predefined Tasks – Optional tasks can be added to the project
The system clearly shows which quotation the project originates from before the project is created.
After Project Creation
Once the project is created:
- The quote becomes linked to the project
- The quote is locked and cannot be edited
- The project number is displayed on the quote
- All future work proceeds under the project record
